On August 12th, Camerawerkz brought a full headshot activation to MongoDB's "Women Leading in the AI Era" — an evening panel and reception at The Battery in San Francisco featuring speakers from MongoDB, Intuit, Netflix, and other technology companies discussing AI products and the startups building them.
This wasn't a standard team headshot day. It was a high-volume, real-time activation woven into a live event — guests moved between the panel discussion, the reception, and the headshot setup throughout the evening, with photos captured, edited, and delivered on a fast turnaround rather than the standard multi-day proofing timeline.
The Setup
We built a dedicated headshot station at The Battery, a private members' club in San Francisco, running alongside MongoDB's panel and reception. Attendees signed up for a session, then stepped away from the conversation and networking for a few guided minutes in front of the camera before returning to the evening's program.
Part of the setup was outdoors, and the evening brought steady wind in the 13 mph range — enough to require extra care securing backdrops and lighting stands, but not enough to slow the line down. Sessions kept moving on schedule throughout the night.
Running a headshot activation inside a live event is a different discipline than a scheduled office shoot. There's no fixed roster, no pre-assigned time slots — just a steady, unpredictable flow of guests moving in and out throughout the reception window. Keeping the line moving, the lighting consistent, and the direction genuinely helpful for every guest — many photographed at a professional event for the first time in years — was the job for the whole evening.
