(6-Step Coordinator Process)

Step 1 — Get a quote (You: 2 minutes) Fill out the form with your team size, office location, and preferred timing. Sergio responds the same day.

Step 2 — Book and receive your scheduling link (You: 10 minutes) A deposit secures your date. We send a scheduling link your team books into directly.

Step 3 — Forward the prep guide (You: 2 minutes) We send a short guide covering wardrobe and what to expect. You forward it to your team.

Step 4 — We show up and photograph the firm (You: 0 minutes) We arrive 45–60 minutes early, set up the complete studio in a conference room or reception area, photograph every team member in 5–10 minute sessions, and pack up. Partners stay on client work; staff stay at their desks.

Step 5 — Proofing galleries go out (You: optional follow-up) Each team member receives a private gallery within 2–3 business days.

Step 6 — Final images delivered, organized and ready (You: upload and done) Edited images within 1–2 weeks, labeled by name and title, ready for your firm website, LinkedIn, and directory listings.

Tax Season and Year-End Timing

Accounting firms have a specific annual rhythm that creates predictable headshot needs, and predictable windows when a team headshot day makes the most sense.

January through March — the run-up to tax season is when firms are at full capacity and a team headshot day would be maximally disruptive. Not the right time.

April through June — post-tax season is the best window for accounting firm headshot days. The pressure has released, new staff hired for the busy season have settled in, and there's time to update the website before the next busy period begins.

September through November — a secondary window before year-end. New hires from the summer class have been onboarded and the firm is preparing for the fourth quarter push.

Year-end transitions — partner promotions, new hire classes, and leadership changes that happen at fiscal year-end often create immediate headshot needs. We accommodate rush turnarounds for these situations.
