The Event: IIEX West at Pier 27

IIEX West 2026 was the first West Coast edition of Greenbook's Insight Innovation Exchange, two days of talks, roundtables and meetings for insights and market research professionals. It took place at Pier 27, the cruise terminal on San Francisco's Embarcadero, with three stages and an expo floor full of sponsors.

Greenbook hired Bay Area photographer Cherlyn Wagner of C Wagner Photography to run a high-volume headshot station for attendees, and she brought in Camerawerkz to shoot it with her. The station ran from a sponsor's booth on the expo floor, so attendees could walk up between sessions, get photographed and get back to the program.

The Challenge: Professional Headshots in a Few Minutes, Between Sessions

Conference headshots work differently from a team day at an office. Nobody has an appointment. Attendees show up in waves: when doors open, at breaks, at lunch and in the half hour before the keynote. Most have a few minutes at most before their next session or meeting.

That meant the booth had to:

  • Move people through fast without making anyone feel rushed

  • Deliver photos immediately, because attendees want to update LinkedIn while they're still at the event, not two weeks later

  • Stay consistent for every person, whether they came at 9 a.m. or late in the afternoon

  • Work as a draw for the sponsor, whose booth hosted the line

The Setup

We built a compact studio inside the sponsor's booth, using professional lighting, a backdrop and a tethered camera, so each person could see their shots on screen as we worked. Two photographers meant we could keep the line moving at peak times and still give every person full direction.

The Workflow: 3–5 Minutes, 12–15 Images, Emailed Instantly

This was our new headshot workflow, built for exactly this kind of event:

  1. Walk up. Attendees joined the line between sessions. No appointment needed.

  2. A guided 3–5 minute session. We directed posture, expression, chin angle and framing for every person, so nobody had to know how to pose. Seeing the shots on screen helped people relax quickly.

  3. 12–15 finished images. Each person got a full set of finished headshots, not one or two picks.

  4. Emailed instantly. Images went straight to each attendee's inbox, often before they'd made it back to the session hall.

Because the photos arrived right away, many attendees could update LinkedIn and their speaker or company profiles the same day, while the conference was still happening.

The Results

  • 170 attendees photographed at the booth

  • 3–5 minutes per person, with full direction for everyone

  • 12–15 finished images per person, emailed instantly

  • A consistent look across every attendee photographed, with the same lighting and backdrop all day

Why a Headshot Booth Works at a Conference

For organizers, a headshot station is one of the most-used perks at an event. Almost everyone needs a current headshot, and few people make time to get one.

For sponsors, hosting the booth puts a steady line of attendees in front of your team, with a few relaxed minutes to talk while people wait.

For attendees, it's a professional headshot in five minutes, in their inbox before the next session.

Frequently Asked Questions

How many people can a conference headshot booth photograph? At IIEX West 2026, we photographed 170 attendees. Each session takes 3–5 minutes, so the number depends on how many hours the booth runs and how much traffic the event has between sessions.

How fast do attendees get their headshots? Instantly. Each person gets 12–15 finished images emailed right after their session, so they can update LinkedIn before the event is over.

Where should a headshot booth go at a conference? Somewhere attendees pass between sessions, such as the expo floor, near registration or by the coffee. At IIEX West, the booth ran from a sponsor's space on the expo floor.

Can a sponsor host the headshot booth? Yes. A sponsor-hosted booth gives the sponsor steady traffic and a reason for attendees to stop and talk. We handle the photography so the sponsor's team can focus on conversations.

How much does a conference headshot booth cost? $4,000 for a half day and $8,000 for a full day, with 3–5 minute sessions and 12–15 finished images per person emailed instantly. There are no travel fees anywhere in the Bay Area.
